Terms & Conditions.

These General Terms and Conditions (T&C) apply to all contracts for sports travel, training camps, team trips, and the associated individual services concluded between the Customer and the Tour Operator specified in the contract.

They apply to both consumers (B2C) and businesses, clubs, and associations (B2B). Deviating, conflicting, or supplementary terms and conditions of the Customer shall only become part of the contract if the Tour Operator has expressly agreed to their validity in writing.

For all trips, training camps, and services booked via madsportspro.com, the travel contract is concluded exclusively with MAD SPORTS GmbH (Grafenberger Allee 293, 40237 Düsseldorf, Germany) acting as the Tour Operator. These services are offered under the "MAD SPORTS PRO" brand, and the bookings are subject to German law.

For all trips, training camps, and services booked via madsports.com.tr, the contract is concluded exclusively with MAD TURIZM BILISIM ORG. TAS. TIC. LTD. STI. These services are offered under the "MAD SPORTS TRAVEL" brand, and the bookings are subject to the laws of the Republic of Turkey.

MAD TURIZM BILISIM ORG. TAS. TIC. LTD. STI. organizes the hotel, sports facilities, transfers, friendly matches, and team supervision locally under its own responsibility.

MAD SPORTS GmbH (Germany) and MAD TURIZM BILISIM ORG. TAS. TIC. LTD. STI. (Turkey) are two completely independent legal entities, both legally and economically.

They do not constitute branches, representations, or subsidiaries of each other. Joint liability or liability for the obligations of the other company is legally excluded. Each company is subject to the respective laws, tax obligations, and accounting regulations of its own country.

A package travel contract in the legal sense exists if at least two different types of travel services (e.g., flight and hotel, or hotel and comprehensive use of sports facilities) are booked for the purpose of the same trip.

However, if only individual travel services are booked (e.g., only an airport transfer or only football pitch usage without accommodation), this does not constitute a package tour. In this case, the legal provisions for package tours do not apply.

For service packages compiled as part of a package tour, the respective company acts as the Tour Operator.

Insofar as certain services are expressly only brokered (e.g., external excursions, rental cars, special insurance), the company merely acts as a Travel Agent. In the case of pure brokering services, the contract for the brokered service is concluded directly between the Customer and the third-party provider.

Prior to concluding a package travel contract, the Tour Operator shall provide the Customer with the legally required pre-contractual information (e.g., essential characteristics of the trip, price, payment terms, standard information form).

"Customer" is the contracting party of the Tour Operator who books the trip and is responsible for fulfilling the contractual obligations (especially payment) (e.g., sports club, association, agency, or the private individual booking).

"Traveler" (or Participant) is any natural person participating in the trip (e.g., player, coach, staff member, accompanying person).

Based on the Customer's request, the Tour Operator prepares a customized offer. This offer is initially non-binding and only constitutes an invitation to submit a contract offer. By accepting this offer (booking registration), the Customer submits a binding offer to the Tour Operator to conclude a travel contract.

The registration by the Customer is made for themselves as well as for all travelers listed in the booking. The Customer is liable for the contractual obligations of all travelers they have registered as for their own, provided they have assumed this obligation through an express and separate declaration.

The travel contract is only concluded upon receipt of the written travel confirmation (booking confirmation) from the Tour Operator to the Customer. If the content of the travel confirmation differs from the content of the registration, this constitutes a new offer from the Tour Operator, to which they are bound for a period of 7 days. The contract is concluded on the basis of this new offer if the Customer declares their acceptance within this period.

Subsequent changes to the travel contract require the express written consent of the Tour Operator. Verbal ancillary agreements have no legal validity without written confirmation.

Special requests from the Customer (e.g., adjacent rooms, specific pitch halves during training) will be accepted and forwarded to the service providers. However, these do not constitute a binding contract condition unless the Tour Operator has expressly confirmed the fulfillment of the special request in writing.

Bookings for football teams and sports groups are generally made via fixed allotments. The Customer undertakes to submit the required lists (e.g., passenger and rooming lists) completely and correctly within the deadlines set by the Tour Operator.

The applicant (e.g., team manager or coach) acts as the primary contact person for the Tour Operator. They are obligated to pass on all booking-relevant information (flight times, meeting points, training schedules) in good time to each individual traveler on the team.

The travel price to be paid is stated in the booking confirmation. The price includes all services explicitly listed there (included services). Additional, unconfirmed services on-site must be paid separately by the Customer.

MAD SPORTS GmbH (via madsportspro.com) and MAD TURIZM BILISIM ORG. TAS. TIC. LTD. STI. (via madsports.com.tr) are two separate legal entities. For this reason, the prices for travel services offered on both platforms are calculated independently.

Prices on madsportspro.com are determined taking into account tax obligations, accounting systems, operational costs, German/EU financial regulations, and payment costs in Germany.

Prices on madsports.com.tr, on the other hand, are calculated within the framework of local financial obligations, Turkish tax law, and operational costs in Turkey. It is commercially and legally standard that the same or a similar travel service is offered at different prices on these two websites with different legal and financial structures.

If the booking is a package tour under German law, the Tour Operator (Germany) may only demand or accept payments towards the travel price before the end of the package tour if the legally required guarantee certificate (§ 651r BGB) has been handed over to the Customer.

MAD SPORTS GmbH reliably protects customer funds via R+V Allgemeine Versicherung AG.

A down payment is due upon receipt of the booking confirmation and (for package tours) the guarantee certificate. The amount of the down payment (as a percentage or a fixed amount) and the payment deadline will be individually specified in the booking confirmation.

Provided the guarantee certificate has been handed over and no other deadline has been contractually agreed upon, the final payment is generally due at the latest 4 weeks prior to the start of the trip without further request. For short-notice bookings, the entire travel price may become due immediately.

Payments must be made via bank transfer to the account specified on the invoice. All associated bank fees (e.g., for transfers from non-SEPA countries) are borne entirely by the Customer. The full invoice amount must be credited to the Tour Operator's account.

If the Customer is in default with the down payment or the final payment, the Tour Operator is entitled to withdraw from the travel contract after issuing a reminder with a deadline and to charge the Customer cancellation fees in accordance with the contractual cancellation conditions.

The Tour Operator reserves the right to unilaterally adjust the agreed travel price if, after the conclusion of the contract, an unforeseeable increase in transportation costs (e.g., fuel surcharges), taxes for certain services (tourist taxes, port fees), or a change in the exchange rates applicable to the trip in question occurs, provided that the trip begins more than 20 days after the contract was concluded.

Local tourism taxes levied by the local authorities in the destination area (e.g., visitor's tax, city tax, accommodation taxes) must be paid by the traveler directly at the hotel, unless they are expressly stated as being included in the price in the offer.

The star classification of the accommodations specified in the offers is based on the official national category of the respective destination. An exact correspondence with international standards is not necessarily guaranteed.

Bookings are generally made in standard double rooms. For bookings of rooms with three or more beds, the additional bed may be an extra bed, a sofa bed, or a folding bed. For sports groups, the availability of single rooms is limited and subject to corresponding surcharges.

The Customer shall forward the binding room allocation list to the Tour Operator in a timely manner. The allocation of specific room numbers and their location within the hotel (e.g., all players on the same corridor) is the responsibility of the hotel management and cannot be guaranteed.

Rooms are generally available from 14:00 or 15:00 (local time) on the day of arrival. On the day of departure, rooms must generally be vacated by 11:00 or 12:00. Early check-in or late check-out are chargeable additional services that must be approved in advance by the hotel management.

The booked catering service (e.g., half board, full board, all-inclusive) generally begins with dinner on the day of arrival and ends with breakfast on the day of departure. Meals are served during the regular restaurant opening hours of the hotel. Adjustments for teams (e.g., a late dinner after a friendly match) must be discussed and approved with the hotel in advance.

Special dietary requirements (vegetarian, vegan, pork-free, gluten-free, etc.) or food allergies must be communicated to the Tour Operator in writing in good time before departure. An absolute guarantee to prevent cross-contamination at hotel buffets and in shared kitchens cannot be provided by the Tour Operator. In the case of severe allergies, the ultimate responsibility lies with the traveler themselves.

The provision of drinking water for the training sessions is only obligatory if this is expressly stated in the booked package. The scope of services (e.g., X liters of water per training session and person) is exclusively based on the contractual agreements.

The use of a meeting or tactics room including technical equipment (e.g., flipchart, projector) is subject to availability at the hotel. If this service is confirmed in the package, the exact usage times must be coordinated in advance with the reception or the tour guide to avoid overlaps with other groups.

If a massage or equipment room is contractually guaranteed, the hotel generally provides a cleared standard or family room for this purpose. In the event of significant soiling or damage (e.g., due to massage oil on walls or bedspreads), the cleaning or replacement costs will be invoiced to the booking club.

Travelers are obliged to comply with the house rules of the respective hotel. This applies in particular to observing night-time quiet hours, the prohibition of bringing alcoholic beverages from outside into public areas (depending on hotel rules), as well as appropriate behavior towards other hotel guests.

In the event of repeated or serious violations of the house rules, the hotel management may issue an eviction after prior warning.

The hotel is entitled to demand a reasonable deposit (in cash or as a credit card authorization) upon arrival of the sports group to cover possible damages to the hotel inventory or unpaid additional costs.

Damages culpably caused by the traveler (e.g., burn holes, damaged furniture, ruined carpets) must be fully borne by the person who caused them or the Customer responsible for the group.

The type of training pitch (natural grass, artificial turf, hybrid) is specified in the booking contract. The Tour Operator is obligated to provide the contractually agreed pitch type. However, for weather reasons (to protect the natural grass), a short-notice switch to an artificial turf pitch is reserved; this does not constitute a travel defect.

The Tour Operator carefully selects its sports facility partners and pays attention to a maintenance condition suitable for sports. During the winter months or peak seasons for training camps, slight signs of wear and tear on the grass due to weather or use are normal and do not entitle to a discount as long as basic playability for training is given.

The duration of a regular training session is generally 90 minutes, unless otherwise agreed. The exact training times (e.g., morning and afternoon sessions) are determined in consultation with the groundsman and other training teams. The Tour Operator endeavors to accommodate the Customer's requested times.

For compelling organizational reasons (e.g., overlaps with match schedules, pitch maintenance), training times and the location of the training pitch may change. Such necessary and reasonable adjustments do not constitute a travel defect as long as the agreed training volume is maintained.

In extreme weather conditions (e.g., heavy rain, snowfall, frost, thunderstorms), the decision-making authority over the release or closure of the grass pitches lies exclusively with the local pitch authorities. Their instructions must be strictly followed to protect the health of the players and to prevent damage to the pitch.

Sports equipment permanently installed or provided at the sports facility (e.g., full-size goals, training goals, corner flags) is available to the team for the duration of the training session. These must be treated properly and returned to their proper place after training.

Insofar as agreed in the scope of services, the Tour Operator or the hotel provides basic training equipment (e.g., marker cones, slalom poles, training bibs) on loan. Footballs must be brought by the teams themselves unless explicitly booked.

The borrowed training equipment must be returned completely and properly to the tour guide or hotel staff after each training session. In the event of loss, willful destruction, or grossly negligent damage to the material, the Tour Operator reserves the right to invoice the responsible party for the replacement costs.

The use of the floodlight system for training sessions or friendly matches in the evening hours is only possible with prior registration. If floodlight fees are not explicitly included in the booking package, additional costs will apply, which must be paid on-site.

For security and maintenance reasons, access to the pitches and training facilities is only permitted for active players and the coaching/support staff. Prior approval from the organizer and facility operator is required for spectators, external media representatives, or guests.

If laundry service for training kit (shorts, t-shirt, socks) is included in the package, the hotel's quantity limits apply (e.g., 1 set per player/day). The clothing must be handed in collectively in the laundry bags provided by the hotel. No liability is accepted for damage to textiles, fading, or shrinking caused by the washing process.

Each team is responsible for bringing its own football- or sports-specific equipment (balls, suitable shoes for natural and artificial turf, tape, medical kit). The Tour Operator is not liable for the loss of personal equipment at the sports facility or in the hotel.

The Tour Operator assists the teams with the planning and organization of friendly and test matches during the training camp. This is an organizational brokering service that heavily depends on the availability of other teams in the region.

The Tour Operator endeavors to find test match opponents that match the sporting level and league affiliation of the Customer. However, there is no legal guarantee that an opponent with exactly the same playing strength will be arranged. The sporting performance level of foreign teams can vary.

If the arranged opponent cancels an agreed test match at short notice (e.g., due to illness, injuries, or internal reasons) or if the match has to be cancelled due to the pitch being unplayable (weather), this does not constitute a travel defect that entitles to a price reduction. The Tour Operator will do its best to find a replacement opponent in such cases but cannot guarantee this.

The appointment of official referees for test matches is done through the local football association. Unless the costs for the referee team are explicitly included in the travel price according to the offer, they must be paid directly on-site by the respective teams (usually split evenly).

If participation in a football tournament is part of the trip, the creation of the fixtures, group draws, and organizational execution of the tournament are the responsibility of the respective tournament organizer. The Tour Operator assumes no liability for short-notice changes to the fixture list or the withdrawal of other participating teams.

Teams are subject to the official tournament rules. In the event of unsportsmanlike conduct, acts of violence, or severe rule violations, the tournament management is entitled to expel players or the entire team from the tournament. There is no right to a refund of the travel price or registration fee in such cases.

The flight times and airlines communicated with the offer are to be considered provisional until the final electronic flight tickets (E-Tickets) are issued. The data on the final tickets is decisive. The Tour Operator will inform the Customer about the identity of the operating airline in accordance with applicable regulations.

Changes to departure times, the flight route (e.g., stopovers), or aircraft type by the airline remain reserved, provided they are reasonable for the traveler and do not significantly impair the overall structure of the trip. The Tour Operator is not liable for weather- or strike-related flight delays.

The execution of the flight is additionally subject to the General Conditions of Carriage (GCC) of the respective airline. The Customer is obliged to inform themselves in good time about possible special regulations (e.g., regarding dangerous items in hand luggage).

Travelers must arrive punctually at the check-in counter at the airport, usually at least 2 to 2.5 hours before the scheduled departure time. The traveler bears sole responsibility for missed flights due to late arrival at check-in or the boarding gate.

When booking a flight, the names of the travelers must match exactly with the machine-readable part of the valid passport or ID card. Name changes or the naming of substitute persons are usually prohibited by airlines for scheduled and low-cost flights or are associated with high fees. The resulting costs are borne by the Customer.

The quantity, weight, and dimensions for checked baggage and hand luggage depend strictly on the booked flight fare. The Tour Operator will inform the Customer in advance about the included baggage allowance (e.g., 1x 20 kg checked baggage, 1x 8 kg hand luggage).

Additional sports luggage of the teams (e.g., ball sacks, medical kits, massage tables) as well as any excess baggage must be reported to the Tour Operator early on (ideally directly at the time of booking) for registration with the airline. The airline charges separate fees for this. Without prior registration, the airline may refuse to transport the sports luggage.

Many flight fares (especially group or promotional fares) are non-refundable after tickets have been issued. If the trip is cancelled by the Customer, cancellation costs of up to 100% of the ticket price plus possible processing fees will apply to the flight component. Taxes and fees are refunded according to the airline's conditions.

Possible claims for compensation and assistance in the event of denied boarding, flight cancellation, or long delays in accordance with the EU Passenger Rights Regulation must be directed directly to the operating airline. The Tour Operator is not obliged to pay the compensation legally owed by the airline.

To the extent contractually agreed, the Tour Operator organizes the transfer from the destination airport to the hotel and the return transfer on the day of departure. Transfer logistics are coordinated with the flight times of the entire group.

If the training pitches are not within walking distance of the hotel (guideline: more than 500-800 meters), a shuttle service (bus transport) will be provided for the confirmed training times and test matches, provided it is included in the package.

The applicant must ensure that the entire team is ready at the meeting point (e.g., hotel lobby) precisely at the departure times communicated by the tour guide or Tour Operator. The bus driver is subject to legal driving and rest periods. Self-inflicted delays by the team may lead to the cancellation of the transfer; there is no right to a replacement.

In the event of severe flight delays, the Tour Operator will endeavor to adjust the bus transfer. If the delay is more than two hours and the bus has to be cancelled and reordered due to other journeys, this may result in additional costs being invoiced to the Customer; unless the delay was caused by the Tour Operator itself.

The size of the bus used (minibus, midibus, large coach) depends on the number of registered participants. Unless contractually guaranteed, there is no entitlement to a specific vehicle brand or equipment (e.g., WiFi in the bus). Excessively heavy or bulky luggage must be registered in advance, otherwise the luggage space of the bus may not be sufficient.

The booked group transfer covers a joint outward and return journey for the main group. Separate individual transfers must be booked for players, coaches, or board members arriving or departing at different times (late arrivals). These are not included in the group package price and are subject to a surcharge.

The Customer may withdraw from the travel contract at any time before the start of the trip (Cancellation). The notice of withdrawal must be sent to the Tour Operator at the specified contact address. It is strongly recommended to declare the withdrawal in writing (e.g., by e-mail). The date of receipt of the notice of withdrawal by the Tour Operator during regular business hours is decisive.

If the Customer withdraws from the contract, the Tour Operator loses the right to the agreed travel price. Instead, the Tour Operator may demand reasonable compensation. The exact cancellation conditions and percentage deductions are based on the respective offer, the booking confirmation, and the conditions of the respective service providers (Hotels/Airlines). Due to the special group allotments in sports tourism, cancellation costs can reach high rates at short notice.

The Customer is in any case at liberty to prove that the Tour Operator has incurred no damage at all as a result of the cancellation or that the damage incurred is significantly lower than the standard cancellation fee demanded. Conversely, the Tour Operator is also entitled to claim specifically calculated, higher compensation instead of a flat rate, provided they can prove this.

If one of the players of a booked team cancels (e.g., due to injury), this legally constitutes a partial withdrawal from the contract. In this case, a cancellation fee may be charged for the cancelled spot. If this cancellation reduces the number of people staying in the room to one, a single room supplement must be paid for the remaining traveler.

The Customer may request within a reasonable period before the start of the trip that a third party assumes the rights and obligations arising from the package travel contract in their place or in place of a specific player. The Tour Operator may object to the entry if the third party does not meet the basic travel requirements. Additional costs arising from the change (e.g., airline fees) will be invoiced to the Customer.

After conclusion of the contract, the Customer has no legal right to demand changes regarding the travel date, the travel destination, the place of departure, the accommodation, or the mode of transport (rebooking). If a rebooking is nevertheless made at the Customer's request, the Tour Operator may charge a reasonable rebooking fee plus the additional costs of the service providers.

If a traveler or the entire group fails to appear on time for the contractually agreed departure or check-in at the hotel without having effectively cancelled the trip beforehand (No-Show), the Tour Operator retains the full right to the travel price, minus the saved expenses refunded to it by the service providers.

The Tour Operator may withdraw from the contract before the start of the trip if the minimum number of participants stated in the contract is not reached. The notice of withdrawal must be forwarded to the Customer immediately, but at the latest by the deadline specified in the contract. Furthermore, the Tour Operator may terminate the contract if the relationship of trust is severely disrupted due to default in payment or behavior contrary to the contract by the Customer.

If the execution of the trip at the destination or in its immediate vicinity is significantly impaired by unavoidable, extraordinary circumstances (e.g., war, civil unrest, natural disasters, significant health risks such as severe disease outbreaks), the Customer may withdraw from the contract free of charge before the start of the trip. An official travel warning from the Foreign Office (or the respective country) is decisive. In this case, the Tour Operator will refund the paid travel price immediately; however, there is no entitlement to additional compensation on the part of the Customer.

If a travel service is not provided in accordance with the contract (travel defect), the Customer is legally obliged to report this defect immediately to the local tour guide or directly to the Tour Operator. If the traveler culpably fails to report the defect, a subsequent reduction of the travel price is excluded, as the Tour Operator was deprived of the opportunity to provide a remedy.

If the Customer demands a remedy for a travel defect, the Tour Operator must rectify the defect. The Customer must set a reasonable deadline for the Tour Operator to do so. Setting a deadline is only unnecessary if the remedy is refused by the Tour Operator or if immediate remedy is necessary.

If the Tour Operator fails to provide a remedy within the reasonable deadline set, the Customer may remedy the situation themselves and demand reimbursement of the necessary expenses. This does not apply if the remedial measure taken by the Customer incurs disproportionate costs.

For the duration of an unresolved travel defect, the Customer may demand an appropriate reduction of the travel price (discount) after their return. The prerequisite for this is that the defect was reported in a timely manner on-site.

If a package tour is significantly impaired by a travel defect and the Tour Operator fails to provide a remedy within a reasonable period, the Customer may terminate the travel contract. In this case, the Tour Operator is obliged to ensure return transport (for included flights) and bears the additional costs incurred for this.

The contractual liability of the Tour Operator for damages that are not bodily injuries (life, limb, health) and were not caused culpably (i.e., neither intentionally nor through gross negligence) is limited to three times the travel price in accordance with German Package Travel Law (§ 651p BGB).

The Tour Operator is not liable for performance disruptions, personal injuries, and property damages in connection with services that are merely brokered as third-party services (e.g., locally recommended excursions, visits to professional matches, rental cars), provided these are explicitly marked as third-party services in the offer and confirmation, stating the brokered contracting party.

If the traveler contributed to a damage or co-caused the defect through their own behavior (e.g., violation of house rules, unsportsmanlike conduct, disregard of safety instructions, lateness), this must be taken into account in any claim for damages as reducing or eliminating the claim.

The Tour Operator will inform citizens of the respective booking country about passport, visa, and health regulations prior to the conclusion of the contract. For citizens of other countries, the respective consulate is responsible. The traveler is personally responsible for obtaining and carrying the officially required travel documents.

The Customer is personally responsible for ensuring that the health status of all participants allows them to take part in the booked sports activities. The Customer should find out about any recommended vaccinations or medical entry requirements in the destination country in good time from the relevant health authorities or official bodies.

When booking sports and team trips, the Tour Operator expressly recommends taking out travel cancellation insurance, trip interruption insurance, and international health insurance (including repatriation). For active sports participants, it should be specifically checked whether training and competitive sports, as well as medically necessary return transports, are covered by the insurance policy.

Sports injuries during the training camp fall under the traveler's general risk of life and sports. The local tour guide will assist in organizing doctor visits or patient transports if required. Unless otherwise stipulated by law or contract, the treatment, translation, and transport costs incurred in this context are to be borne by the traveler or their health insurance.

The personal data provided by the Customer (names, dates of birth, passport numbers, etc.) will be processed electronically exclusively for the execution of the travel contract and transmitted to domestic and foreign service providers (hotels, airlines, local agencies) to the extent necessary to provide the service. The basis for this is the EU General Data Protection Regulation (GDPR) as well as corresponding local regulations (e.g., KVKK).

If images or video recordings are made for marketing purposes by the Tour Operator or photographers commissioned by it during the trip, this will only happen with prior consent. The Customer is requested to communicate any objections from travelers who do not wish to be photographed in advance.

The substantive law of the country in which the respective contracting Tour Operator has its legal seat applies.

If the contracting party of the booking is MAD SPORTS GmbH in Germany (madsportspro.com), German law and the relevant EU legislation form the basis for the respective contractual and travel relationship.
If the contracting party of the booking is MAD TURIZM BILISIM ORG. TAS. TIC. LTD. STI. in Turkey (madsports.com.tr), the laws of the Republic of Turkey and the applicable Turkish tourism/consumer protection regulations form the basis for the respective contractual relationship.

Mandatory consumer protection provisions of the country in which the consumer has their habitual residence remain unaffected in both cases and are strictly applied.

For lawsuits filed by the Tour Operator against merchants, legal entities under public or private law, or persons who do not have a general place of jurisdiction, the seat of the respective organizer (Düsseldorf or Antalya) is agreed upon as the exclusive place of jurisdiction.

The Tour Operator is not legally obliged to participate in dispute resolution proceedings before a consumer arbitration board and does not voluntarily participate in such proceedings. The European Commission provides a platform for online dispute resolution (ODR).
